Who we are

Impact AI Institute (“we,” “us,” or “our”) is a professional services company based in Manitoba, Canada that helps businesses install AI capability inside their teams. This policy explains what information we collect when you visit impactaiinstitute.org, engage with us, or use our client portals, and how we handle it.

We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.

Information we collect

We collect information in two ways:

  • Information you give us, when you submit a discovery call form, sign up as a client, or contact us, we collect your name, email, company, team size, and any notes you choose to share. If you become a client, we also collect information needed to deliver the engagement (team member names, role descriptions, audit responses, and content created inside our client portals).
  • Information collected automatically, basic technical data such as your IP address, browser type, pages viewed, and referral source. We use this only to keep the site working and to understand which content is useful.

How we use your information

  • To respond to your inquiry and schedule a discovery call.
  • To deliver, support, and improve our services if you become a client.
  • To send occasional updates about our work, only if you opt in.
  • To comply with legal obligations, prevent fraud, and protect the security of our site and clients.

How we share your information

We don't sell your personal information. We share it only with service providers that help us run the business, and only to the extent needed to deliver the service you asked for. Current providers include:

  • Calendly, discovery call scheduling
  • Resend, transactional email
  • Our hosting and database providers, to run the site and client portals

We may also disclose information when required by law, to enforce our agreements, or to protect the rights, property, or safety of our clients or others.

International data transfers

Some of our service providers are located outside Canada, primarily in the United States. When you submit information through our site or portals, it may be processed and stored in those jurisdictions and subject to the laws of those countries. We choose providers that maintain industry-standard security practices and contractual protections for personal information.

Cookies and tracking

We use a small number of essential cookies to keep you signed in to client portals and to remember your theme preference. We do not run third-party advertising or behavioural tracking on this site.

Data retention

We keep your information for as long as we need it to provide the service you asked for and to meet our legal, tax, and accounting obligations. You can ask us to delete your information at any time by emailing us; we'll honour the request unless we're legally required to retain specific records.

Your rights

Under PIPEDA, you have the right to access, correct, export, or delete the personal information we hold about you, and to withdraw consent for any optional uses (such as marketing emails) at any time. To exercise these rights, contact us at malachi@impactaiinstitute.org. We'll respond within 30 days.

If you're not satisfied with our response, you have the right to file a complaint with the Office of the Privacy Commissioner of Canada at priv.gc.ca.

Security

We use industry-standard practices to protect your information, including encrypted connections, hosted infrastructure with access controls, and regular reviews of who can see what. No system is perfectly secure, so we encourage you to use strong, unique passwords for any client portals and to notify us immediately if you suspect an account has been compromised.

Children

This site and our services are intended for businesses and adults. We do not knowingly collect personal information from anyone under 16.

Changes to this policy

We may update this policy from time to time. When we do, we'll change the “Last updated” date at the top. Material changes will be flagged on the site or by email for active clients.
